How to Use Gmail: Core Features and Productivity Tips

Gmail is more than a tool for sending and receiving email. Labels, advanced search, Undo Send, and filters can save a lot of time when used well. This guide is for international trade and operations teams and explains Gmail’s most useful features and efficient ways to manage multiple accounts.

Gmail is one of the world’s most widely used email services and is essential for international trade quotations, customer follow-ups, and account registrations. But most people only use sending, receiving, and search, while features such as labels, filters, Undo Send, and Smart Compose can significantly reduce repetitive work.

This article does not repeat the registration process. Instead, it focuses on Gmail’s core features and practical usage tips for international trade and operations professionals who already have a Google email account and want to work more efficiently.

Core Gmail features

Label organization. Gmail uses labels instead of traditional folders, and one message can have multiple labels at the same time. For example, an email that belongs to “Project A” and also needs a reply can be labeled both “Project A” and “To Reply,” making it easy to find from either angle. Compared with a fixed-folder model, labels are better suited to work environments with high email volume.

Advanced search. Once your inbox contains many messages, ordinary keyword search can make it hard to find the exact email you need. Advanced search lets you combine filters such as sender, recipient, subject, and date range. For example, entering from:colleague@example.com subject:market report after:2024/01/01 can precisely locate market-report emails sent by a colleague after that date. Frequently used search criteria can be reused later.

Import mail from other providers. If you previously used services such as Outlook or Yahoo, Gmail provides import tools that can migrate old messages and contacts, so your email history is preserved and communication with contacts can continue without interruption.

Undo Send. Sending the wrong email is something any international trade professional may encounter. Gmail provides a short cancellation window after sending, and the wait time can be adjusted in settings. If you notice an error or a missing attachment, click “Undo” before the recipient sees the message.

Online chat. Gmail includes Google Chat, which is useful when something needs to be confirmed quickly. For example, when discussing order details with a customer, instant communication in Chat can be faster than waiting for email replies, and the chat history remains available for later review.

Security protection. Gmail supports two-step verification, so even if a password is exposed, logging in still requires an additional verification step. Email transmission is encrypted by default, and a lock icon appears when communicating with providers that support TLS. It is recommended to enable two-step verification and review your account security settings regularly.

Gmail productivity tips

Use filters to organize automatically. Instead of manually sorting messages every day, let Gmail categorize them for you. You can create filters for specific senders or keywords and automatically apply labels, archive messages, or mark them as read. For example, all messages with “invoice” in the subject can automatically receive an “Invoices” label, so you can review them together during reconciliation.

Make archiving a daily habit. Archiving removes a message from the inbox without deleting it, and the message can still be found through search. After handling an email, press the e shortcut to archive it. Once you build the habit of “archive when done,” your inbox contains mainly pending items instead of being buried under old messages.

Use dynamic email to reduce page switching. Messages that support dynamic email can let you fill out forms, answer surveys, and complete similar actions directly inside the email instead of opening another page. This can be useful for supplier forms and customer surveys.

Smart Compose. Gmail can suggest text based on your writing patterns. While you are composing a message, Smart Compose may show a likely continuation that you can accept with a click or key press. The more you use it, the better it can match your style, which is especially useful when you reply to many similar messages.

How to use multiple Google email accounts more efficiently

In cross-border e-commerce and international trade, many people use more than one Google email account. Keeping company email, customer-development email, and advertising-account email separate can make business boundaries clearer and reduce the chance that a problem with one mailbox affects all operations.

Gmail natively supports account switching: click your profile picture in the upper-right corner of the browser to add and switch between multiple accounts. This is enough for occasional switching, but it becomes inconvenient if you need to compare two inboxes side by side, process email for many accounts, or keep different business accounts fully isolated. It is easy to click the wrong account while switching, and that is often when an email gets sent from the wrong mailbox.

A more reliable approach is to create a separate browser environment for each business mailbox. PurpleMark’s web workspace can create an independent environment for every Google email account, with separate Cookies, cache, and login state. Whichever environment you open is the mailbox you are logged into, so sessions do not get mixed together. You can group environments by business purpose, such as “Company Email,” “Customer Development,” and “Ad Accounts,” and open the one you need.

If multiple team members need to share one business mailbox, you can also share the corresponding environment with selected members and use activity records to see who handled email and when, reducing the security risks of sharing passwords. When repetitive actions are needed across multiple mailboxes, such as logging in one by one to check new messages, PurpleMark’s window synchronization can mirror actions from the main environment to other environments and reduce repeated work.

If you currently have two or three Google email accounts that need to be managed separately, open PurpleMark Web, create the same number of environments, sign in to each mailbox once and keep the session active. After that, you can simply open the corresponding environment whenever you need to process email.

Frequently asked questions

Do I need a phone number to register a Google email account?

Not always. Google often asks for phone verification during registration to improve account security, but in some cases it may be possible to skip it. Follow the prompts shown on the registration page. For a detailed registration process and common issues, refer to our previous Gmail registration guide.

How many Google email accounts can one phone number register?

Google limits the number of accounts associated with a single phone number, and repeatedly registering multiple accounts with the same number in a short period may trigger risk controls. If your business genuinely needs multiple mailboxes, register them in batches in compliance with applicable rules and maintain normal usage history for each account.

Can Gmail be accessed directly in mainland China?

Google services cannot be accessed directly in mainland China and require a compliant network environment. Cross-border professionals typically use them according to the overseas network conditions available to their business. Follow the network and compliance requirements that apply in your location.

What is a Google email account used for?

A Google email account is also a Google Account. It can be used for Gmail, Google Drive, Calendar, YouTube, Google Maps, and other services, and supports synchronization of personal settings and data across devices, making it the unified entry point to the Google ecosystem.
